<p>In recent years, Sage introduced a new feature for bank reconciliation, namely the ability to &#8220;save&#8221; your matched items so far. Prior to this, if you realised that you had forgotten to enter a supplier payment for example, you had to completely discard your work so far, exit the bank reconciliation window and enter your transaction. The introduction of the &#8220;save&#8221; facility meant that you could retain your work, exit the reconciliation window, and return at a later stage.</p>
<p>It has come to our attention however that some of our clients have been using the save feature instead of reconciling their work. We have encountered clients with a year&#8217;s worth of bank transactions &#8220;saved&#8221; as opposed to reconciled. Since the save feature was never designed to work this way, there is no guarantee that this saved file will be retained indefinitely. We have come across clients who have come in to work one day to find the bank reconciliation file has disappeared or even migrated to another bank account.  In this case, the only solution is to restore a recent backup.</p>
<p>In conclusion, the save feature is an excellent tool if used correctly. During training sessions we advise clients that they reconcile their bank statements one page at a time. This is an excellent way to minimise errors and makes differences very easy to track down.</p>

			<content:encoded><![CDATA[<p>In these hard pressed times, many small businesses need to make important decisions quickly to ensure that they stay in business. Decision making depends on having the correct information to hand whilst ensuring that this information is accurate and up to date.</p>
<p>Many companies running  their business on <strong>Sage Accounts</strong> or some similar accounting software become frustrated when they realise that they cannot acquire the correct information from the system.  In our experience working with SMEs over the years, there are a number of possible reasons for this such as:</p>
<ul>
<li>The auditor adjustments from the last audit were never posted      to the system</li>
</ul>
<ul>
<li>The bookkeeper does not account for depreciation or accrue for      goods delivered but not yet invoiced</li>
</ul>
<ul>
<li>There is no system in place for monthly stock valuations</li>
</ul>
<ul>
<li>Bank reconciliations were not being done properly so not all the      expenditure was being picked up</li>
</ul>
<ul>
<li>The chart of accounts was not properly designed to produce the      information required</li>
</ul>
<ul>
<li>Some expenditure was being posted to the incorrect headings for      example, Repairs and Maintenance being posted to Fixed Assets</li>
</ul>
<p>Many bookkeepers in small companies may not appreciate all of the above issues, but with the right training and intervention, should be able to produce<strong> accurate Management accounts</strong> for the owner/manager on a monthly basis.</p>

<p>You have already taken the difficult step of setting up a business and are using either manual books or a spreadsheet to record your transactions. You realise that you could be getting better information and that many small businesses use computerised accounts system.</p>
<p>So what is involved and why would you do it? <span id="more-1006"></span>Well, for one thing you will save yourself time as you only have to enter a transaction once into the system.</p>
<p>It is very easy to run a report which will show who owes you money and more importantly for how long. Do you spend much time preparing the Vat return or do you hand it over to your accountant – now with either Sage or Tas you can run a Vat return at the click of a button. Instead of using a word processor you can produce a professional looking invoice or statement with your own logo from the system. You will have a better handle on the overall performance of the business by running regular profitability reports.</p>
<p>As your business expands, your system may need to record sales orders and deliveries and check whether a particular item is in stock. You may need to open a Sterling bank account to deal with UK suppliers or customers. If you have Sales reps you might want them to take orders on handheld systems and download them into your accounts system.</p>
<p>Before deciding which system to implement you should be clear in your own mind what features/modules you want from the system and the benefits you expect it to bring to your business. You should also look for assurances on the following issues:</p>
<ol>
<li>Is the system proven in the marketplace?</li>
<li>Will the system be capable of growing with the business in      terms of extra modules and users?</li>
<li>Can the system provider also deliver training and ongoing      support afterwards?</li>
<li>Are references available from other users of the software?</li>
<li>Is the system capable of being backed up for security purposes?</li>
<li>That your staff who will operate the system are buying into it</li>
</ol>
<p>Once you have chosen the appropriate system (whether it be Sage 50, Tas, Exchequer Enterprise or some other system) for your business, you need to plan the implementation. What date is the system going to start from and have you got all your manual or spreadsheets up to date? It might be advisable to concentrate on getting your customers and sales invoices up initially and follow on with your suppliers and purchases. You will need to consider whether you will attend a classroom training session or get on-site training which will be more specific to your requirements. You will also need to specify the reports which you will need from the system as this will have implications for the set-up. The main thing is to have a plan and get assistance and training from experienced systems providers.</p>

			<content:encoded><![CDATA[<p><strong>Hot off the press</strong> &#8211; a new and improved link between ACT! and Sage 50 Accounts has been announced. Yesterday, at lunchtime, Malcolm attended a webinar detailing the imminent release of a service pack for ACT! 2010. Many of our customers will be delighted at the announcement which will see them able to import more Sage details from ACT! &#8211; both customers and suppliers, have the ability to create invoices from ACT! opportunities and much more.</p>

Experience of the Sage and TAS brands are sought after by many employers seeking candidates for accounts, book-keeping and payroll positions. Having experience of the SAGE brands or indeed attending one of our courses will boost your CV, helping your application to stand out from those of the other candidates.<span id="more-795"></span></p>
<p>Sage Software and TAS books have developed a range of training courses designed for individuals interested in upskilling and improving their job prospects by attending a Sage Certified training course. These courses are now being provided locally in Sligo town by Synergy Network. Please refer to our<a href="http://www.synergynet.ie/2010/02/training-schedule-spring-2010" target="_blank"> training schedule</a> for more details on the certified courses that we currently offer.</p>
<p>All attendees will receive a <strong>Sage Certificate of Attendance</strong>. There is a short one hour exam at the end of the course. Those that pass the exam will receive a Sage Certified User Certificate for the software course they have attended.</p>
<p>Attendees are trained on the latest versions of our software, ensuring that they are knowledgeable on the latest features and functionality. Our trainers are fully qualified to provide comprehensive, efficient training courses that cover the key functionality of Sage or TAS software. Each individual attending a Sage training course works with his or her own PC and will receive a course manual.</p>
